Business Support Officer

The successful candidate will provide direct support to the Head of Care and Assessment, assist in supporting the Director of Integrated Care and the Head of the Business Services Unit, and support administrative staff across Care an Assessment services and the Community Independence Service.

Main Duties:

  • Manage the general office duties including dealing with callers in person and on the telephone, dealing with incoming and outgoing mail, photocopying, ordering office and stock supplies
  • Maintain the filing and administrative systems, ensuring information and documentation is kept up-to-date and correctly filed
  • Manage organisational governance on behalf of the Heads of Service by completing online forms/system requirements (e.g. new employee forms, sickness returns) within the timelines required
  • To provide a professional response to telephone queries
  • Undertake word processing duties and maintain an efficient brought forward system, ensuring that work is progressed according to agreed deadlines
  • Arranging events including meetings, disciplinaries, Adult Protection Groups, conferences and health fairs confirming delegates, booking venues, travel and refreshment, preparing paperwork such as PowerPoint presentations, publicity flyers and taking professional minutes
  • Process claims and payments, keep financial records, monitor expenditure and produce reports as required
  • To accurately verify and process invoices and order for approval by the budget holder, and to ensure that departmental financial and administrative procedures are observed at all times
  • Co-ordinate diaries, including appointments and meetings, and ensure managers have all relevant paperwork
  • Track correspondence and complaints, collating responses, maintain and update records

Essential Skills and Experience Needed:

  • Experience of minute taking and dairy and email management
  • Experience of financial management including order processing and invoicing
  • Good organisation skill, with the ability to efficiently prioritise workload and cope well under pressure
  • Experience of working with various IT systems and packages e.g SharePoint, Framework-I Microsoft Office, Excel and PowerPoint
  • Strong customer service skills, and demonstrable previous experience of dealing with public enquiries
  • Ability to maintain confidentiality

Job Requirements:
Must have a minimum of 2 years recent experience within an administrative role in the same or similar capacity
GCSE mathematics and English – Grade C or above, or equivalent
Good ICT skills, in particular typing/Word
Qualification in Office Administration
